1. Introduction

This Privacy Policy explains how the India Convention Promotion Bureau ("ICPB", "we", "us") — an apex non-profit body constituted under the aegis of the Ministry of Tourism, Government of India, to promote India as a preferred destination for MICE (Meetings, Incentives, Conferences and Exhibitions) tourism — collects, uses, discloses and protects personal data submitted through icpb.in (the "Site"), in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and other applicable Indian law. Please also see our Terms of Use, which govern your use of the Site generally.

2. Personal Data We Collect

We collect personal data you voluntarily provide through the Site's forms, which may include: name, email address, phone number, organisation name, postal address, and any message or attachment you choose to submit (e.g. a membership application, bid support request, event registration or newsletter sign-up).

3. Purpose of Collection

We use this information only to: respond to your enquiry; process a membership application or update; process bid support or event registration requests; send newsletter communications you have opted into; and maintain records ICPB is legally required to keep.

4. Legal Basis / Consent

We process personal data on the basis of your consent, given by voluntarily submitting a form on the Site. You may withdraw consent at any time by contacting us; this does not affect the lawfulness of processing carried out before withdrawal.

5. Data Sharing & Disclosure

We do not sell personal data. It may be shared internally within ICPB for the purpose it was collected for, and with government authorities where required by law. [ICPB legal to confirm any other categories of recipient, e.g. an events or CRM platform vendor.]

6. Data Retention

We retain personal data only for as long as necessary to fulfil the purpose it was collected for, or as required by applicable law, after which it is securely deleted or anonymised. [ICPB to specify exact retention periods for each category of data — e.g. enquiry records, membership records, event registrations — as part of its internal data governance policy.]

7. Your Rights as a Data Principal

Under the DPDP Act, 2023, you have the right to: obtain a summary of the personal data we hold about you and its processing; request correction or completion of inaccurate or incomplete data; request erasure of data that is no longer necessary for the purpose collected; withdraw consent at any time; nominate another individual to exercise these rights on your behalf in the event of death or incapacity; and file a grievance with ICPB and, if unresolved, with the Data Protection Board of India.

8. Grievance Officer

For any privacy-related grievance, please contact our Grievance Officer: [ICPB to appoint and provide name, designation and email address, as required under the DPDP Act, 2023].
